Who we are

The data controller for personal data collected through propertysights.com is Rubin Global Co., Ltd, trading as PropertySights, 36 Soi Sukhumvit 40, Sukhumvit Road, Prakanong, Klong Toey, Bangkok 10110, Thailand. For any privacy matter, contact us at hello@propertysights.com or +66 (0)86 397 7095.

What we collect

We collect only what you give us through our forms, plus basic technical data:

• Contact form: your name, email, phone, WhatsApp and LINE handles (optional), enquiry type, preferred language and message.
• Property enquiry or viewing request: the listing you asked about, your name, email, phone and message.
• Guide and consultation requests (including Thailand Privilege visa enquiries): your answers to the form’s questions, your name, email, phone and message.
• Newsletter: your email address.
• Job applications: see “Job applicants” below.
• Technical data: IP address, browser and device type, pages viewed, and the signals our bot check (Cloudflare Turnstile) needs to tell people from automated traffic.

Data that stays in your browser

Saved searches, your display currency and your cookie choice are stored only in your own browser. They are never sent to us, and you can clear them at any time through your browser settings.

How we use it and our legal basis

We use your data only for the purposes below, each on the legal basis shown:

• Answering your enquiry, matching you with properties and arranging viewings — taking steps at your request before entering into a contract (PDPA section 24(3)).
• Assessing job applications — taking steps at your request before entering into an employment contract (section 24(3)).
• Keeping the site secure, blocking spam and fraud, and operating the website — our legitimate interests (section 24(5)).
• Analytics and session recording — your consent, given in the cookie banner (section 19).
• Measuring our Facebook and Instagram ads and showing our ads to past visitors (Meta Pixel) — your consent, given separately with the Advertising switch under Cookie settings (section 19).
• Sending the newsletter and property updates — your consent (section 19), which you can withdraw at any time.
• Complying with legal obligations and requests from authorities — legal obligation (section 24(6)).

Who we share it with

We do not sell your personal data. We share it only: with the TREBA-registered agent handling your enquiry; with Siam Legal, our visa partner, when you ask us to help with a Thailand Privilege visa and agree to be referred; with the service providers listed below, who process it on our behalf under confidentiality and data-protection terms; and with authorities where the law requires it.

Service providers

These providers process personal data for us. Each acts on our instructions and only for the purpose shown:

• Cloudways (servers operated by Vultr) — hosts the website, its content system and the form entries you submit. Location: Singapore.
• Cloudflare — content delivery, security and the Turnstile bot check on our forms; sees your IP address and the requests you make. Location: global network, United States company.
• Google — Workspace email (where form submissions are delivered), Google Sheets (our enquiry log), Google Analytics and Tag Manager (only as described under Cookies), Google Maps, and YouTube (videos on some listing pages). Location: United States and global.
• Microsoft Clarity — session recording and heatmaps, only after you accept analytics cookies. Location: United States.
• Meta Platforms (Meta Pixel) — only if you switch on Advertising under Cookie settings: receives the pages you view on our site and whether you send an enquiry or tap to contact us, to measure our Facebook and Instagram ads and show our ads to past visitors. Location: United States and Ireland.
• n8n — workflow automation that copies new enquiries from our inbox into our enquiry log. Location: Germany (EU).
• Elastic Email — delivers the notification emails our website sends when a form is submitted. Location: Canada and United States.
• Mailchimp (Intuit) — newsletter sign-ups and sending. Location: United States.
• Wordfence (Defiant) — firewall and security for our content system; processes the IP addresses of requests to it. Location: United States.
• WhatsApp (Meta) and LINE (LY Corporation) — only if you choose to message us there; your conversation is then also governed by their privacy policies.

International transfers

Because the providers above operate outside Thailand — in Singapore, the United States, the European Union and Canada — your data is transferred abroad. Where the destination’s data-protection standards have not been recognised as adequate, we rely on the safeguards and exceptions in sections 28 and 29 of the PDPA: the providers’ data-protection terms and standard contractual clauses, or the transfer being necessary to respond to your own request.

How long we keep it

We keep personal data only as long as we need it:

• Enquiries and lead records (form entries, emails and our enquiry log): up to 24 months after our last contact with you.
• Job applications: deleted 6 months after the role is filled if you were not hired, and in any case within 12 months of applying. If you join us, your application becomes part of your employment record.
• Newsletter: until you unsubscribe.
• Server logs and backups: about 30 days.
• Microsoft Clarity: session recordings up to 30 days, aggregated heatmaps up to nine months.
• Meta Pixel: our website audiences keep a visitor for at most 180 days; Meta retains the underlying data under its own policy.
• Data stored in your browser: until you clear it.

Cookies

Your browser stores a few preferences locally (such as your display currency, saved searches and your cookie choice) so the site works as you expect; these are not shared with third parties. Analytics cookies from Google Analytics and Microsoft Clarity are set only after you press Accept in the cookie banner. Until then Google Analytics receives only cookieless, anonymous signals and Clarity does not run. The Meta Pixel and its cookies load only if you switch on Advertising under Cookie settings; pressing Accept does not turn it on. YouTube videos on listing pages, and Google Maps when you open a map, are provided by Google and may set Google’s own cookies. You can withdraw or change either choice at any time via Cookie settings at the foot of every page, and you can also delete cookies through your browser settings.

Analytics and session recording

To understand how visitors use the site and where they run into difficulty, we use Microsoft Clarity alongside Google Analytics, but only if you accept analytics cookies. Clarity records how pages are used — mouse movement, clicks, scrolling, and the pages visited — and reconstructs this as session replays and aggregated heatmaps. Page content is masked by default, so the text on the page and anything you type into a form are not captured. Clarity uses cookies to link the pages of a single visit together. This data is processed by Microsoft under the Microsoft Privacy Statement at privacy.microsoft.com; session recordings are retained for up to 30 days and aggregated heatmap data for up to nine months. You can opt out of Clarity collection at optout.aboutads.info, and Clarity honours the Global Privacy Control signal.

Job applicants

If you apply through our careers page, we collect your name, phone number, email address (optional), LINE ID, the position you want, whether you hold a motorbike licence, your English level, the CV or LinkedIn link you choose to share, and your message. We use this only to assess your application and contact you about it; only the people handling recruitment can see it. We do not ask for sensitive data such as religion, health or criminal records — please don’t include it in your message or CV. Retention is set out under “How long we keep it”.

Advertising and third parties

We advertise PropertySights on Facebook and Instagram. Only if you switch on Advertising under Cookie settings does the Meta Pixel on this site tell Meta which pages you viewed and whether you sent an enquiry or tapped to contact us. We use this to measure our ads and to show our ads to people who have visited the site. We do not send Meta your name, email address or phone number, but Meta may link this activity to your Facebook or Instagram account under its own privacy policy (facebook.com/privacy/policy). Advertising stays off unless you switch it on, and you can switch it off at any time; the same switch controls Google’s advertising consent signals. Embedded third-party services (such as Google Maps and YouTube on listing pages) and external sites we link to have their own privacy practices, which this policy does not cover — please review them independently. Google’s data practices are described at policies.google.com/technologies/ads.

Your rights under the PDPA

Under the PDPA you have the right to access and obtain a copy of your personal data; to receive it in a commonly used format or have it sent to another controller; to have inaccurate or incomplete data corrected; to have your data deleted or anonymised in certain circumstances; to restrict or object to our processing in certain circumstances; and to withdraw consent, including for marketing, at any time. Withdrawing consent does not affect processing carried out before withdrawal. We aim to respond to any request within 30 days. If you believe we have not handled your data lawfully, you may complain to the Office of the Personal Data Protection Committee (PDPC).
